Cancellation Policy
At Wildfloc, we value flexibility while also ensuring fairness for both our travelers and our team. This Cancellation & Refund Policy is designed to protect your interests as well as the operational commitments we make for every trip.
1. Cancellation within 24 hours after booking
A 100% refund will be issued to the original mode of payment.
This applies to all bookings made within this time frame, ensuring peace of mind for immediate changes in plans.
2. Cancellation after 24 hours and up to 14 days before the trip
You may choose between:
Refund Option: A refund will be provided after deducting 25% of the booking amount as administrative, logistic and vendor costs.
Credit Note Option: A 100% credit note will be issued, valid for 12 months from the date of cancellation.
Credit notes can be used for any future trip with us and are transferable to a family member or friend upon written request.
3. Cancellation within 7 days before the trip
As most logistical and accommodation costs are pre-paid, no monetary refund will be issued.
However, a 50% credit note will be provided, valid for 12 months, to be used against any future trip.
4. No-Show Policy
In case of a no-show (where the traveler does not join the trip without prior written notice), no refund or credit note will be provided.
This is due to confirmed logistical costs already incurred.
5. Force Majeure / Special Circumstances
In the event of natural disasters, severe weather, pandemics, or government-imposed travel restrictions, where the trip cannot be operated:
We will provide a rescheduled date, credit note, or refund (after deducting only unrecoverable vendor expenses such as hotel or campsite bookings, food, logistics, permits, insurance or transport).
In the event of adverse weather conditions, natural calamities, or any situation beyond our control that makes it unsafe or impractical to proceed with the trip as scheduled, Wildfloc reserves the right to reschedule the trip to a later date in the interest of participant safety.
If the rescheduled date does not suit the traveler, a credit note of the booking amount (after deducting unrecoverable costs such as food, transport, permits, and campsite arrangements) will be issued. This credit note will be valid for 12 months and can be applied to any future trip.
Refunds will not be possible in such cases, as significant logistical and vendor costs (transportation, staff, food, permits, campsite setup, etc.) are pre-paid and non-recoverable.
Participants acknowledge that adventure travel is subject to weather uncertainties, and by booking, they accept that rescheduling or credit is the remedy in case of such disruptions.
Each situation will be handled in good faith, on a case-by-case basis.
6. Changes & Rescheduling by Traveler
Rescheduling requests will be accepted based on availability.
A rescheduling fee of 10% of the booking amount will apply if requested within 14 days of the trip.
No fee will apply if rescheduled more than 14 days before the trip.
7. Important Notes
All cancellations or rescheduling requests must be made in writing via email at care@wildfloc.com.
The effective date of cancellation is the date we receive your written request.
The above terms apply only to the trip cost. Any additional services (flights, visas, insurance, third-party bookings) are subject to the respective provider’s cancellation policy.
8. Refund Process
Refunds will be processed within 7–21 business days, subject to the timelines of banks and payment gateways.
Refunds will be credited to the original mode of payment used at the time of booking.
9. Travel Insurance
We strongly recommend that all participants purchase comprehensive travel insurance covering trip cancellations, medical emergencies, accidents, and loss of personal belongings.
10. Disclaimer & Acknowledgment
By booking a trip with Wildfloc, you confirm that you have read, understood, and agreed to this Cancellation & Refund Policy.
You acknowledge that:
- Adventure travel involves inherent risks due to weather, terrain, and third-party services.
- Wildfloc is not liable for delays, cancellations, or losses arising out of circumstances beyond our reasonable control.
Refunds/credits are strictly governed by this policy and no exceptions will be made outside the terms mentioned herein.
11. Booking Terms & Acknowledgment
By proceeding with the booking and making payment, you confirm that:
You have read, understood, and agreed to Wildfloc’s Cancellation & Refund Policy, which forms an integral part of our Terms of Service.
You understand that all cancellations, rescheduling, and refunds will be strictly governed by the terms outlined in the Cancellation & Refund Policy.
You acknowledge that adventure travel involves inherent risks, including weather-related delays, terrain challenges, and third-party vendor dependencies, for which Wildfloc cannot be held liable.
You agree that in the event of any dispute, claim, or legal proceedings arising out of or in connection with this booking, the exclusive jurisdiction shall lie with the competent courts of Bangalore, Karnataka, India.
